Using the Spaces Interface in Canvas View

The Dashboard is the first thing you will observe when you log in to Files space interface. The Dashboard helps you to know what is happening in all your space interface and allows you to figure out what to do next.

This is what an empty space in Files would look like:

Interactive Navigation

The canvas comes with a navigation toolbar, which can be used to navigate through the space interface. Here is a description of each of the buttons at the bottom of the toolbar.

Add File Card

Click the "➕" button in the toolbar button to create a new file card.

You can also double-left-click with your mouse anywhere on the canvas to create a new file card.

Linking File Cards

Click the "🔗" link button in the toolbar to connect two or more File cards. The Link button creates a bi-directional communication relationship between these Files.

After clicking the link button, click on a file card in the Space Interface's Canvas view and point to another card in the canvas. Drag the link to the other File card and click again to complete the connection.

You can also select the link type from the Space Menu.

Choose your type of link according to your project requirements.

Adding Notes in the file card

To add a comment, click the 📄 Add note button for the appropriate file card and enter your note in the text field. The note auto-saves your comments.

Fit to Screen

Use the Fit to Screen button in order to display all your file cards in one frame in the canvas. Zoom in to view specific areas of the canvas, and zoom out to see a more overall view of the canvas.

Scroll the mouse wheel to zoom the view in and out. Your cursor position determines the centre of zoom.

  • Zoom in by scrolling forward

  • Zoom out by scrolling backwards

Panning file cards

To pan the view across the canvas in Files:

  • Click the "🤚" palm icon on the Files toolbar

  • Click the left mouse button while the cursor is on the canvas

  • Move the canvas horizontally or vertically to pan

Customize File Cards

File cards display specific details within them. Click the 🖌 Customise File Cards button to make changes to your card.

There are several ways in which you can customise your file cards to make them reveal the information that is relevant to you, such as:

  • Choose whether to display their colour schemes by software or file type

  • Display or hide the assignees with the help of a Toggle switch

  • Choose whether to show or hide the filename, file type or software

Import

You can import a file card by importing an excel file with a defined format. In this way, instead of manually entering all the details of a file card, you can import it.

Click on the import icon and a pop-up window will appear, now import your excel file by drag and drop or browse your file and upload it. Now click on IMPORT to proceed, and you will have a new file card in your Canvas.

Export

If you wish to export a file card from your Canvas, select a file that you wish to export and the file will be sent to you on your Email account shortly.

Grouping Selected File Cards

Assigning multiple file cards to a group can basically help you identify and segregate your files easily. To group multiple file cards in a canvas:

  • Press and hold shift to select multiple file cards or press and hold the left click on your mouse anywhere in the canvas and drag the cursor to select multiple file cards

  • Click on the Group Selected Files button in the toolbar

  • Change the Group Title and the Colour of the group according to your choice

Ungroup Selected file cards

To remove the grouping of file cards, click on the group and then click on the Ungroup icon as shown in the image to ungroup the file cards from the group.

Remove Selected file from the group

  • Select a file card in the Group to remove it from the group folder.

  • Click on the Remove selected file from Group button

Permanently delete a file card

  • Select the file card you want to Delete.

  • Click this 🗑 toolbar button to delete a file card or

  • To select multiple file cards, press and hold the Shift key, then press the delete key on your keyboard or click on 🗑 icon to delete them.

  • Since you cannot undo this, you will be asked to confirm that you want to Delete the file or folder.

Resize File Card

To Resize a specific file card:

  • Select the file card you wish to resize.

  • Click the ↔ Resize Card toolbar button

  • Drag your file card to the desired final dimensions.

Sharing File Cards

Click the toolbar button to share a file card.

Select a File card and choose the list of available spaces and share your file cards.

Copy a File Card

Locate and select the file card you want to copy.

Click the Copy button on the toolbar or use ‘Ctrl+C’ on your keyboard to copy a file card.

Paste a File Card

Click the 📋 Paste icon or ‘Ctrl+V’ to paste/duplicate a file card.

Searching for File Cards

Click the 🔍 Search icon on the right side of the canvas to search the file cards in the space interface.

The search function finds file cards on the canvas and provides the results in just a few seconds.
